Please read these Terms of Service carefully before using College Rugby Pipeline. By accessing or using our service, you agree to be bound by these terms.
1. Acceptance of Terms
By accessing or using the College Rugby Pipeline platform ("Service") operated by College Rugby Pipeline ("Company," "we," "our," or "us") at collegerugbypipeline.com, you ("User," "Coach," or "you") agree to be bound by these Terms of Service ("Terms") and our Privacy Policy.
If you are entering into these Terms on behalf of an organization, team, or institution, you represent and warrant that you have authority to bind that entity to these Terms. If you do not agree to these Terms, you must not access or use the Service.
These Terms constitute a legally binding agreement between you and College Rugby Pipeline. Your continued use of the Service following any modifications to these Terms constitutes acceptance of the revised Terms.
2. Description of Service
College Rugby Pipeline is a software-as-a-service (SaaS) recruiting management platform designed exclusively for college rugby programs. The Service enables coaches and recruiting staff to:
- ✓Track and manage recruit pipelines from initial contact through commitment
- ✓Generate personalised AI-powered recruiting emails and direct messages
- ✓Score and rank recruits based on configurable criteria
- ✓Monitor roster depth charts and identify positional gaps
- ✓Log and review all recruiting activity and communication history
- ✓Import recruit data from CSV files and third-party platforms including NextPhase Rugby
- ✓Collaborate across coaching staff with shared recruit profiles
The Service is provided "as is" and we reserve the right to modify, suspend, or discontinue any feature or the Service as a whole at any time with reasonable notice.
3. User Accounts
To access the Service, you must create an account and provide accurate, complete, and current information including your name, email address, institution, and payment information where required.
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must immediately notify us at support@collegerugbypipeline.com of any unauthorised use of your account or any other security breach.
Each account is for use by a single institution or rugby program. You may not share your account credentials with individuals outside your coaching staff. Account access for multiple coaches is governed by the subscription tier you select.
We reserve the right to suspend or terminate accounts that we determine, in our sole discretion, to be in violation of these Terms or involved in fraudulent, abusive, or illegal activity.
You must be at least 18 years of age to create an account. By creating an account, you represent that you meet this age requirement.
4. Subscription and Payment
College Rugby Pipeline offers the following subscription tiers, billed monthly:
Up to 150 recruits, 1 coach account. Includes AI outreach generation, pipeline tracking, depth chart, and CSV import.
Unlimited recruits, up to 3 coach accounts. Includes all Starter features plus bulk campaigns, advanced analytics, and CSV export.
Unlimited recruits and coaches. Includes all Pro features plus custom score factors, priority support, and onboarding call.
All prices are in US dollars and are subject to change with 30 days' notice. A free trial period may be offered at our discretion. Following any free trial, your subscription will automatically begin and your payment method will be charged.
Subscriptions automatically renew each billing period until cancelled. You may cancel your subscription at any time through your account settings or by contacting us at support@collegerugbypipeline.com. Cancellations take effect at the end of the current billing period and we do not offer prorated refunds for partial periods, unless required by applicable law.
All payments are processed securely through our third-party payment processor. We do not store your payment card information directly. Failure to pay may result in suspension or termination of your account.
We reserve the right to offer promotional pricing, discounts, or grandfathered rates at our discretion. Such offers are non-transferable and cannot be combined unless explicitly stated.
5. Acceptable Use
You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not use the Service:
- ✕In any way that violates applicable local, state, national, or international laws or regulations, including NCAA, NAIA, or other governing body recruiting regulations
- ✕To transmit any unsolicited or unauthorised advertising or promotional material, or any other form of solicitation
- ✕To harass, threaten, or harm recruits, coaches, or any other individuals
- ✕To upload or transmit viruses or any other malicious code that may damage the Service
- ✕To attempt to gain unauthorised access to any part of the Service or its related systems
- ✕To scrape, crawl, or extract data from the Service in a manner that circumvents our systems
- ✕To share, sell, or transfer your account access to unauthorised third parties
- ✕To reverse engineer, decompile, or disassemble any part of the Service
- ✕To use the Service to build a competing product or service
You are solely responsible for ensuring your use of the Service complies with all applicable recruiting regulations imposed by the NCAA, NAIA, or any other athletic governing body applicable to your institution.
6. Intellectual Property
The Service and its original content (excluding content provided by users), features, functionality, user interface, branding, and underlying technology are and will remain the exclusive property of College Rugby Pipeline and its licensors. The Service is protected by copyright, trademark, and other applicable intellectual property laws.
You retain all ownership rights to the data you upload to or create within the Service, including recruit profiles, notes, activity logs, and any other content ("User Content"). By uploading User Content, you grant us a limited, non-exclusive, royalty-free licence to store, process, and display that content solely to the extent necessary to provide the Service to you.
AI-generated content produced by the Service (such as recruiting emails) is provided for your use. You are responsible for reviewing, editing, and taking responsibility for any AI-generated content before sending or publishing it.
You may not copy, reproduce, distribute, or create derivative works from any part of the Service without our prior written consent.
7. Data and Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
You are responsible for ensuring that any personal data you enter about recruits — including minors — is handled in compliance with applicable privacy laws including FERPA, COPPA, and any state-level privacy regulations. You represent that you have obtained all necessary consents or have appropriate authority to enter such data into the Service.
We implement commercially reasonable technical and organisational measures to protect your data. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
Upon termination of your account, we will retain your data for up to 90 days before deletion, during which time you may request an export. After this period, we have no obligation to retain your data.
8. Limitation of Liability
To the maximum extent permitted by applicable law, College Rugby Pipeline and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, goodwill, or other intangible losses, resulting from:
- –Your access to or use of (or inability to access or use) the Service
- –Any conduct or content of any third party on or related to the Service
- –Unauthorised access, use, or alteration of your transmissions or content
- –Any errors, inaccuracies, or omissions in AI-generated content
- –Interruptions, outages, or bugs in the Service
Our total liability to you for all claims arising out of or relating to these Terms or the Service shall not exceed the greater of (a) the amount you paid us in the three months preceding the claim, or (b) one hundred US dollars ($100).
The Service is provided on an "as is" and "as available" basis without warranty of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
9. Termination
You may terminate your account at any time by cancelling your subscription through your account settings or by emailing support@collegerugbypipeline.com. Upon cancellation, your access to the Service will continue until the end of the current billing period.
We may suspend or terminate your access to the Service immediately, without prior notice or liability, for any reason including if you breach these Terms, fail to pay applicable fees, or engage in conduct we determine to be harmful to the Service or other users.
Upon termination, your right to use the Service will immediately cease. Provisions of these Terms that by their nature should survive termination shall survive, including but not limited to intellectual property, limitation of liability, indemnification, and dispute resolution provisions.
10. Changes to Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will notify you by email to the address associated with your account and/or by displaying a prominent notice within the Service at least 14 days before the changes take effect.
Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Terms. If you do not agree to the revised Terms, you must stop using the Service and cancel your subscription.
We encourage you to review these Terms periodically. The "Last updated" date at the top of this page indicates when the Terms were most recently revised.
11. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to its conflict of law provisions. Any disputes arising from or related to these Terms or the Service shall be resolved through binding arbitration, except that either party may seek injunctive or other equitable relief in any court of competent jurisdiction.
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary so that these Terms will otherwise remain in full force and effect.
